Student Travel Grants

Travel grants are available for students to participate in the symposium. Applications must be received by 2 April.

Travel

The Claremont is easily accessible through three airports, San Francisco, Oakland, and San Jose. Driving directions to the Claremont are given for San Francisco and Oakland. If you are driving from San Jose, leave San Jose airport and head to Oakland. Once in/near Oakland, follow the driving directions given.

If you prefer not to drive, there are several options available, including taxis and the ever popular BayPorter shuttle. Please contact the Claremont Resort for further information.

Hotel Information

The Symposium will be held in its traditional location at the Claremont Resort, in Berkeley, California, "one of the few hotels in the world with warmth, character and charm" according to Frank Lloyd Wright.

A block of rooms has been put aside for the 2010 Symposium attendees:

Hillside or Bayview Single/Double rooms are $219/night.
The group rate does not include sales/room tax, currently 14.065%. The resort incidental fee is waived for Symposium attendees and should not be added to the group rate.

To receive this special group rate, you must reference the group name. Make your reservation by calling in-house reservations phone 1-800-551-7266 or +1 510-843-3000, or by email to reservations@claremont-hotel.com. If you choose to send an email request, ensure that you include the following information:

  • Name
  • Address
  • Phone (the hotel will call you for credit card information)
  • Dates for check-in and check-out
  • You must provide one of the following codes to receive special rate:
    • "IEEE Computer Society SRSP" for the Symposium block rate
    • "IEEE GOV 2010" for the Government rate (see instructions below). Note that the Government rate is only available to qualifying Government personnel, not students. (Note: as of March 23, the government rate block is sold out. You can still try asking for this, but unless someone has cancelled, will not receive it.)
When making your reservation, specify the room type you would like. Please note that rooms are limited availability, on a first-come, first-served basis.

In order to get the group rate you must make reservations directly (by phone or email). Do NOT use the online reservation tool on the Claremont website, as it will not give you the group rate.

The reservation cut-off date is Friday, April 23, 2010 at 5:00pm Pacific Time. Reservations received after this date will be accepted by the hotel on a space available basis.

Required Deposit

The Hotel requires a deposit in advance from individual guests to guarantee reservations. This can be done through a check or money order for the first night plus sales tax, or though a signed letter or card authorizing a credit card charge, or by giving a major credit number by phone. Guaranteed reservations are held until at least 6:00am the following morning, at which time the reservation and deposit are forfeited.

Parking Fees

The hotel will provide parking at the rate of $24, plus any applicable taxes, per vehicle per day for overnight guests of the Symposium. This fee includes valet service and unlimited in and out privileges. A day parking charge is available at $12 per vehicle per day for Symposium attendees who do not have overnight accommodations.

Government Rates

Note: as of March 23, the government rate block is sold out. You can still try asking for this, but unless someone has cancelled, will not receive it.

Ten percent of the rooms in the group room block are available, on a first-come first-serve basis, at the prevailing government rate. The entire reservation staff at the Claremont has been briefed on this special government rate, but if you run into any problems, request to speak to Emily to resolve any issues. Remember that this rate is limited and strictly first-come first-serve, and you must provide the code "IEEE GOV 2010".

Symposium attendees requesting the prevailing government rate must present a valid form of identification at the time of check-in, which consists of:

    For U.S. Federal Government per Diem Rates:
  • Federally Funded Research and Development Center (FFRDC) ID
  • U.S. Federal Government issued Visa, MasterCard or American Express Card (i.e. SmartPay Credit Card)
  • Personnel badge or ID issued to U.S. Federal Government civilian employees
  • U.S. Military ID issued to U.S. Military Personnel on Official Travel
  • Common Access Card (CAC) issued to U.S. Federal Government civilian employees and U.S. Military Personnel on Official Travel
  • Official Government/Military Travel Orders/Proof of Official Duty Status

    For State and Local Government per Diem Rates:
  • Official travel orders on original state or local government letterhead
  • State or local government issued personnel badge or ID card
